The Data Cove email archiving system consists of just a few components. The email server, the archiving appliance, and your own existing network system work together to form an efficient and convenient way to facilitate your email archiving needs. Systems that work with Data Cove are the Microsoft Exchange, Lotus Notes, Novell Groupwise, First Class, Standard POP3 or IMAP, and STMP. These systems use email journaling technology or SMTP push. Email archiving can be accomplished with the use of these systems.
A typical set up might consist of your internet connection and the local network, both feeding into the journal enabled email server. From the email server, the emails and attachments are fed into the Data Cove appliance for email archival. The system fetches emails from IMAP and POP servers and SMTP traffic is also captured and archived. Multiple exchange servers will be utilized simultaneously to feed email communications into the archives. Microsoft Exchange messages and PST files are imported directly into storage.
This email archiving system can be installed in 30 minutes or less and will save your company a great deal of time and effort in the handling of your email traffic. All incoming and outgoing emails will be archived, as well as all internal network messages. Your company sets the rules for retention time and the archive rules can be customized to your needs.
Security of your archived messages is a concern, as the law requires all messages to remain in original form. A log is included in the email archiving system to track all searches, the time searched, and the searching party. The system encrypts all email messages with triple DES encryption.
There are multiple options available to limit or allow access for employees according to your company policies. Employees on your network can be allowed access to only their own messages, or upper level management can be allowed higher levels of access to include those messages that are necessary for normal operations. A feature your IT's will love is the separate database that is used to store the messages. The information is stored in Zip files to compress them. This allows for the daily use computer system to run unencumbered, regardless of the amount of communication that is stored. There is no real space required by your regular day to day operating system. The information will be stored in the appliance, but all of the information is accessible to your company as needed.
